How the stamp card works

When a guest earns a stamp, when stamps are deducted, how redeeming is calculated – and where you set all of it. The same rules the card itself uses.

What the stamp card is

The stamp card is part of every Helora account and runs at every location. Your guest collects one stamp with every paid order, and at fixed tiers there is a reward. The card lives in Apple Wallet or Google Wallet – no app and no account needed.

You set exactly three things: the order value from which a stamp is earned, what each tier rewards, and how the card looks. Everything else Helora calculates according to the rules on this page.

When a guest earns a stamp

A stamp is only given once payment is confirmed. An order that is not paid earns no stamp. There are three ways, and all of them land on the same card:

  • Order on your ordering page: the order is matched to the guest's card via the phone number. The stamp arrives automatically once paid.
  • At the till: the guest shows the QR code on the card, your team scans it in the Helora app. Any signed-in team member may stamp.
  • At the NFC stamp: the guest holds the phone to the NFC stamp on the counter and gets a stamp – even without an order through the page.

The minimum order value

You decide from which order value a stamp is earned – in steps of five from €5 to €50. An order below that does not count. From this value Helora derives roughly what a stamp is worth and suggests matching rewards.

One stamp per day

By default a guest earns at most one stamp per day, whichever way it comes. Three small orders on one day count as one visit.

The full card

Once a guest reaches your highest tier, the card is full. It accepts no further stamps until a reward is redeemed – not even by hand at the till.

When stamps are deducted

Stamps are only deducted when a reward is redeemed – exactly the stamps of the chosen tier. They are deducted as soon as the order with the reward exists, not only after payment. That way nobody can take the same reward twice.

  • If the order is cancelled, the guest gets the stamps back.
  • If your team redeems a reward at the counter, it takes effect immediately – the goods have already been handed over.
  • A reward the guest only puts in the basket and never orders deducts nothing.

Expiry

If you set an expiry (6, 12 or 24 months), the stamps expire when no new one has been added for that long. The period counts from the last stamp, not the first – regulars never lose anything. The card shows “Valid until” with month and year.

How does redeeming work?

When your guest redeems a reward, exactly the stamps of that tier are deducted. Anything above stays on the card.

  • Example: your guest has 12 stamps and redeems the reward at 5 stamps.
  • 5 stamps are deducted, 7 stay on the card – and collecting continues.
  • The guest can also wait and take a bigger reward at 10, 15 or 20.
  • At the highest tier of your card it is full: new stamps only come after redeeming.

The guest is only offered what has been reached. On the ordering page the reward is chosen while ordering; at the counter your team chooses it when scanning the code.

The four tiers and the rewards

A card has four fixed tiers: 5, 10, 15 and 20 stamps. All four are always there; you fill the ones you want to offer. At least one must be filled.

  • The lowest filled tier is the least a guest can reach.
  • The highest filled tier is the length of the card.
  • If you fill only the 10, you have the classic ten-stamp card with one reward.

Four kinds of rewards

  • Free item: a product from your menu, with picture.
  • Fixed amount: an amount deducted from the order.
  • Discount: a percentage off the order.
  • Free text: for example “one free hair treatment” – for businesses without a menu, redeemed at the counter.

Above the tiers the card shows how strongly it binds – from “Weak” to “Strong”, based solely on the number of filled tiers.

How to set up the card

When you set up your account, the assistant asks for the minimum order value and the rewards in the “Stamp card” step. Later you find everything in the stamp card studio in the app:

  • Design: colour, logo, cover image, shape and symbol of the stamps, wallet background.
  • Rules: “When a stamp is earned” (minimum order), “Minimum order for redeeming”, the four reward tiers and the expiry.
  • Display stand: the finished design with your QR code for counter, table and shop window – to print or as a file.

The second minimum

“Minimum order for redeeming” applies to redeeming only and is off by default. A reached reward always stays reached – it just cannot be redeemed on a smaller order. The guest sees the condition next to the reward.

Changes apply immediately

Whatever you save in the studio applies immediately – also for guests who are already collecting. Before you save, the app tells you how many guests would lose a reached reward and how many could redeem right away. What a guest has already collected is kept.

What your guest sees

After the first paid order or after scanning your display stand, the guest adds the card to Apple Wallet or Google Wallet. All it takes is a phone number.

  • On the card: the current count, the highest reward, “Valid until” and the QR code.
  • When the count changes, the card updates by itself – on Apple and on Google.
  • In the guest account and in the Helora app the guest sees all cards and can delete any of them.

Several locations

When you add another location, you can link its stamp card to an existing location in the “Stamp card” step. Your guest then collects on the same card everywhere and redeems the reward at any linked location.

The rewards then come from the main location. The link cannot be changed later – neither separated nor created afterwards.
